Administrative and Program Assistant – Chapel Hill, NC

Bell Leadership Institute, founded in 1972, is a leadership training and development company located in the heart of Chapel Hill, NC and is seeking an experienced and highly qualified administrative professional to join our Client Services Team.

The role will support our top client service executives and will help to plan and schedule meetings, appointments, and travel. They will help to draft, maintain, and proactively stay on top of executive correspondence with clients and organizational contacts. The role will ensure client service executives are well prepared for training and coaching engagements while maintaining digital and physical files and capturing notes and learnings from engagements.

The Administrative and Program Assistant will work closely with and support the administrative needs of our top Trainers, Program Directors, and Business Development Director.

  • Calendar and schedule management. Schedule meetings, appointments, calls and travel for lead Trainers.
  • Maintain prioritized list of action items for lead Trainers.
  • Ensure Trainers are well prepared for meetings, calls and engagements while maintaining digital and physical files and capturing notes and learnings from engagements.
  • Capture and organize notes from calls and meetings. Enter relevant information in client database. Help facilitate the flow of information between Trainers and Program Management / Business Development.
  • Work with Trainers to prepare client prework and manage follow up from coaching sessions, meetings, and training engagements.
  • Help draft, maintain, and proactively manage executive correspondence with clients and organizational contacts.
  • Support Business Development efforts and proposal development.
  • Support training and conference logistics by assisting with calls and coordinating program logistics including confirmations, program preparation, prework administration, and program details.
  • Time permitting, support the management and ongoing development of our Trainer Resource digital library.
  • At least 3 years’ experience in a professional business setting with a major focus on internal and external client service
  • Outstanding interpersonal skills and a genuine desire to help people
  • Practical, real-world experience working with complicated administrative situations
  • Superb written and verbal communication skills
  • Strong organizational skills, including ability to prioritize workload, anticipate needs, and meet deadlines
  • Ability to work well independently and in a team setting
  • Takes direction well and understands that no job is too big or too small
  • A positive, optimistic can-do attitude
  • Travel, scheduling, and conference planning capability
  • Proficiency with all Windows systems and ability to learn and adapt to new technology easily

This position will work on-site at our Chapel Hill, NC offices. We are open to candidates with additional skills and experience.
