Role Overview
We are seeking a motivated, professional, and detail-oriented Office Coordinator to manage the day-to-day operations of our office and provide support to our leadership team. This role emphasizes receptionist and office management responsibilities, team and event support, and handling miscellaneous errands and projects for the CEO and COO. The Office Coordinator helps create a welcoming, well-organized, and positive environment for our team and our clients.
Key Responsibilities
- Greet team, vendors and any client visitors in a professional and courteous manner manner.
- Answer and direct phone calls, emails, and other communications.
- Manage incoming and outgoing mail and packages.
- Oversee conference room reservations and coordinate catering and setup for office meetings

- Oversee daily office operations, including office supplies, shared equipment, and vendor relationships.
- Maintain the cleanliness, organization, and upkeep of common spaces, storage areas, and kitchens.
- Coordinate routine maintenance and service needs for office facilities.
- Ensure team spaces are welcoming, tidy, and fully stocked.
- Manage office parking assignments, including staff spots, visitor parking, and updates for part-time employees and guests.
- Organize and plan office events, team celebrations, and social activities (e.g., birthdays, holidays, team lunches).
- Manage office snacks, staff lunches, and cards or gifts for special occasions.
- Support team morale and culture through proactive coordination of office activities.
- Handle miscellaneous errands, tasks, and projects on behalf of the CEO and COO.
- Assist with basic bookkeeping tasks, reporting and filing.
- Manage subscriptions, renewals, and vendor accounts.
- Prepare simple reports and updates as needed for leadership.
Qualifications
- 2–4+ years of experience in office coordination, reception, or administrative support.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency with office software and comfort learning new systems.
- Ability to balance multiple tasks with a courteous and positive attitude.
- Discretion, reliability, and a service-minded approach.
Additional Details
- Part-time, in-person role (Monday–Friday, 9am–2:30pm) based in Chapel Hill, NC.
