Executive & Program Support Coordinator – Chapel Hill, NC

Role Overview

We are seeking a high-energy, detail-oriented, and proactive professional to serve as Executive & Program Support Coordinator. This position provides direct support to our three lead trainers and plays a vital role in the delivery of Bell’s leadership training programs and executive coaching services. The ideal candidate is highly organized, thrives on balancing multiple priorities, and demonstrates excellent judgment, communication skills, and a team-player mindset.

This role is primarily office-based in our Chapel Hill headquarters, with occasional on-site program support for local client engagements.

Key Responsibilities

  • Manage complex trainer calendars, including scheduling of appointments, program-related calls, executive coaching sessions, and travel.
  • Prioritize and optimize schedules to ensure efficient use of trainers’ time in relation to organizational priorities.
  • Anticipate trainer needs and proactively streamline administrative tasks.
  • Conduct client research to provide background information and insights for upcoming programs and coaching sessions.
  • Draft, edit, and format program prework assignments, client communications, and related materials.
  • Coordinate pre- and post-program calls with clients and participants to ensure smooth preparation and follow-up.
  • Maintain up to date client and program participant notes in Sharepoint and our CRM.
  • Serve as liaison between trainers and internal teams (training services, business development, marketing) to ensure seamless execution.
  • Manage trainer directed administrative projects as needed.
  • Handle sensitive and confidential information with discretion.
  • Support the planning, coordination, and execution of Bell’s custom leadership programs.
  • Prepare program documentation, timelines, and participant resources.
  • Partner with program managers on logistics, venue coordination, and technical needs.
  • Provide set up, break down, and day-of support for local programs as needed, upholding Bell’s standards for excellence.
  • Serve as a professional, responsive point of contact for clients, vendors, and internal staff.
  • Deliver high-touch service to clients and participants, ensuring proactive, timely, and thoughtful support.
  • Support meeting preparation, including drafting agendas, assembling materials, and capturing action items.
  • Contribute to the continuous improvement of processes and systems for executive and program support.

Qualifications

  • 5+ years of proven experience in executive assistance, program coordination, or client service in a professional setting.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication abilities; professional, client-ready presence.
  • Demonstrated experience managing complex calendars and travel coordination.
  • Proficiency in Microsoft Office Suite; familiarity with CRM, scheduling, or event management platforms a plus.
  • Proactive, resourceful, and adaptable; able to anticipate needs and solve problems independently.
  • Enthusiastic, collaborative, and aligned with Bell’s mission of helping people develop as leaders.

Additional Details

  • Full-time, in-person role (8:00am – 5:00pm with a lunch/exercise break)
  • Based at Bell Leadership’s headquarters in downtown Chapel Hill, NC.
  • Compensation will be commensurate with experience and skill set.
